This policy explains how Mary Ann Lynn Coaching ("we", "us", "our") collects, uses, and protects personal information when you visit malcoaching.co.uk, get in touch, book a coaching session, or use the client portal.

Who we are

Mary Ann Lynn Coaching is a mountain bike coaching business operating from Swinley Bike Hub, Berkshire, UK. For any privacy-related question, contact hello@malcoaching.co.uk.

What information we collect

Depending on how you use the site, we may collect:

• Contact form details — name, email address, experience level, and any message you send us.
• Booking information — details you provide through our booking calendar (Teamup) when arranging a session.
• Client portal account details — your email address and a securely hashed password, if you're invited to use the client portal.
• Coaching progression data — a record of the mountain biking skills you've worked on and achieved, entered by your coach following sessions.
• Health & activity readiness information — if you complete our pre-session health form, this includes your date of birth, emergency contact, and answers to standard health screening questions. This is "special category" data under UK GDPR, and is only ever collected with your explicit consent via that form.

We do not collect payment card details directly — any payments are handled separately via Swinley Bike Hub's own booking and payment systems.

Why we use your information

• To respond to enquiries and arrange coaching sessions.
• To provide access to your personal coaching progression and skills resources through the client portal.
• To send you account-related emails, such as invitations to the client portal.

Our legal basis for processing this information is our legitimate interest in running a coaching business and responding to enquiries, and — for client portal accounts — performance of the coaching arrangement between you and Mary Ann Lynn Coaching.

Who we share information with

We use a small number of trusted service providers to run the site and portal. Each only receives the information necessary for their specific function:

• Netlify — hosts the website and processes contact form submissions.
• Supabase — hosts the client portal database, authentication, and skills resource files (hosted in a UK/EU data region).
• Mailtrap — sends account-related emails, such as portal invitations.
• Teamup — provides the booking calendar embedded on the site.
• Google Fonts — loads the typefaces used on the site.

We do not sell your personal information to third parties, and we do not use it for advertising.

How long we keep information

Contact form enquiries are kept only as long as needed to respond to you. Client portal accounts and progression records are kept for as long as you're an active client, and for a reasonable period afterwards in case you return to coaching — you can ask us to delete your account and data at any time (see below).

Your rights

Under UK data protection law, you have the right to:

• Ask what personal information we hold about you, and get a copy of it.
• Ask us to correct inaccurate information.
• Ask us to delete your information ("right to erasure").
• Object to, or ask us to restrict, how we use your information.
• Ask for your information in a portable format.

To exercise any of these rights, email hello@malcoaching.co.uk. If you're not satisfied with our response, you have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).

Deleting your client portal account

If you have a client portal account, you can request deletion of your account and coaching data at any time from your dashboard, or by emailing us directly. We'll action deletion requests within a reasonable timeframe.

Cookies

This site does not use tracking or advertising cookies. Some embedded features (such as the booking calendar and web fonts) may load small amounts of data from third-party services as described above.

We may update this policy from time to time. The "last updated" date at the top of this page will always reflect the latest version.
